JOB TITLE: Global Pilot Selection Coordinator

LOCATION: Primarily based in Southampton, with travel to the London Training Centre in Gatwick as required.

Overview: Due to continued growth, a fantastic opportunity has arisen for a Global Pilot Selection Coordinator to join our busy team reporting to the Global Pilot selection Manager. Providing administrative support and reception services to the Global Selection Team to screen applicants against a pre agreed criteria on designated and varied pilot recruitment campaigns.

Key responsibilities will involve, but not limited to:

Reception duties
• Meet and greet candidates on selection days
• Collate candidate documents
• Ensure the Presentation/Group and Interview rooms are set up for the assessment events

Screening duties
• Screening applications received across a breadth of projects
• Providing timely responses to applications received
• Corresponding with candidates to ensure they meet basic entry criteria
• Monitoring of inbox enquiries following screening activity with timely responses
• Documents checks on selection days
• Handling telephone enquiries relating to applications

General administration duties including assessment preparation:
• Filing of candidate files and managing the filing systems including archive
• Preparing all assessment paperwork for selection events
• Prepare applicant files and name badges
• Organize paperwork for overseas assessment events
• Cost Management for Selection stationery this includes keeping it replenished and raising purchase orders to help with invoicing.
• Management and implementation of a database
• Management and implementation of the aptitude testing software
• Management of the Careers/Roadshow events, this includes making sure we have cover from the Selection Team for each event and liaising with the Marketing team to ensure all dates are covered.
• Managing the running of the Selection events on a day to day basis, ensuring the Assessors know what they are doing and where they are going.
• Cleanse systems/spreadsheets to fall in line with GDPR regulations.
• Keeping Roster up to date on weekly selection numbers, this also includes notifying Housekeeping and Pilot Careers.
• Management of the Selection Team Roster
• Responsible for the management and booking of all hotel and flight arrangements for overseas trips
• Responsible for the Selection Manual
• Adopt a flexible working approach to location, working hours, overnight commitments and adaptable to changing selection procedures


Person Specification:

Qualification and educational requirements:
• Educated to GCSE level A-C (or equivalent) including English and Maths

Essential skills and experience:
• Solid administrative experience in a fast paced environment
• International outlook, ability to deal comfortably with various cultures is preferred
• Accurate and detail focused, with high levels of organizational skills
• Strong ICT skills, along with the ability to learn new systems quickly
• Strong verbal and written communication skills to provide appropriate and articulate correspondence
• Ability to multi-task and work under pressure
• Ability to communicate at all levels within the business and externally
• Good organizational and customer service skills
• Self-motivated and able to use own initiative
• Ability to work well as part of a dynamic team

Desirable skills and experience:
• Experience of the aviation sector from a Selection and Assessments standpoint
• Knowledge of Direct Entry Pilot general requirements

Hours of work: Working 37 hours per week, Monday to Friday (flexible as per business requirements)
